The Venture Room Asana operating system

Seven Asana boards, named gates and a fixed handoff so a shoot becomes a film and a stack of cuts without the founders routing it.

Updated 2026-10-25

A small content team runs on one board. Every idea, every edit and every bit of feedback lives on a card, and every card has an owner and a column. When a card lands in your column and you’re tagged on it, that’s your job. The founders see the near-final film once. My recommendation is always the same: let me build it, then we tune it with real numbers after a month.

How do I use it?

  1. Name the four questions the team cannot answer today: what is out this week, where the month goes, what a shoot yielded, what is waiting on me.
  2. Open one Planning ticket per shoot, set its Format and make the shoot date the due date before Plan sign-off.
  3. Harvest within two days: log selects from the transcript, create one child cut per select and set the parent’s Cuts field to the yield.
  4. Let routine cuts from an approved shoot clear at Review, and send only films, new formats and branded work to the founders.
  5. On Monday spend fifteen minutes on flagged tickets, and on Friday send the founders films published, cuts published, shoots filmed, average yield and anything stuck over a week.
  6. After a month of tickets replace the proposed stuck-day limits with the real distribution and hand Tom’s gates to the editor.
